The file that lives in six places

A single property ends up scattered across an inbox, a shared drive, a spreadsheet from last quarter and someone's phone. When an investor asks a question on Tuesday, somebody spends Wednesday rebuilding the answer out of those pieces. We put a layer over all of it that reads each document the moment it lands and writes what it found into one file per property.

What the system reads

Purchase contracts, leases, appraisals, municipal paperwork, tax assessments and the messy PDFs that come back from a lawyer with tracked changes. It pulls out the numbers that matter, the dates that trigger something, and the clauses that differ from your standard. Hebrew and English documents go through the same pipeline, which matters more than it sounds when half a deal file is in each.

What comes out the other side

An investor update, a rent roll, a comparison against similar deals on the same street, a reminder that an option period closes in 30 days. Because the underlying file is current, these get generated on demand instead of assembled the night before. Whoever reviews them spends the time on the judgment call, which is the part worth paying for.

Where we would start in your office

The first build turns the documents already arriving into one structured file per property. Contracts, leases and appraisals get read as they land, and the numbers, dates and clauses that matter get written to a single place with the source page linked. It works as a first project because the input already exists in volume and every extracted value is checkable against the document it came from. The reporting layer follows once that file is current, since an investor update is only ever as good as what sits underneath it.

Questions we get asked

We already use a property management system. Does this replace it?

No, it feeds it. Most of those systems have good screens and thin data, because filling them in by hand is nobody’s favourite job. We keep them filled from the documents themselves.

Do the contracts have to be in a particular format?

No. Scanned, photographed, native PDF or Word all work. Hebrew and English are both handled, including files that mix the two.

How accurate is the extraction?

Good enough to trust on routine fields, and never trusted blindly on the ones that carry money. Anything financial or date-driven comes with a confidence score and a link to the exact page it came from, so checking it takes seconds.

Can it work across a portfolio rather than one property?

Yes, and that is usually where it pays off. Once every file is structured the same way, portfolio questions like exposure by area or lease expiry in the next 12 months become a query instead of a project.
